Camp Planning Process

A form will go out after ticket sales to plan the IC camp. This isn’t compulsory to fill out, but does massively help us with planning space. If you’re planning on bringing a communal tent please let us know so we can prioritise getting you a space in the central part of camp.

Spaces in the OC camp are first-come-first-served, with a small area reserved for accessibility needs.

Our events plan the in-character campsite layouts with the assistance of camp planners. Please follow the camp planner’s instructions on where to set up your in-character tents when you arrive. If you didn’t submit a camp planning form, please make the camp planner aware of any requirements you have for your setup, including size and number of tents, location preferences, accessibility needs, electricity needs, and attendee avoidances. We cannot guarantee electricity for anyone who doesn’t complete the form.

Camp Layout

The IC camp for Event 2 will be in woodland. An illustrated map will come closer to the event once we’ve had a number of camp planning submissions.

  • A-COM Hub for IC/OC logistics will be at the back of the camp.
  • Division Hubs will be in the middle of camp. If you have a gazebo, we’d love to attach it to the structures to make a larger complex. Players are also welcome to camp around their Division hub where space allows.
  • We are looking into how to better create social spaces in camp. Please let us know your planet of origin as we’d like to group any single-origin groups together.
  • The camp is roughly 100m from the toilet block.

Setup Requirements

All tents must be set up so their main door is accessible:

  • Do not block someone else’s door when setting up your tent nearby.
  • Leave at least 2m between guy ropes for any paths.
  • Aim to cross your guy ropes with your neighbours if there isn’t meant to be a path between tents.
  • Leave at least a 3m road between the main camp area and the car park for vehicle (and ambulance) access.

Accessibility

Individuals with accessibility needs will have priority with camp plans, to enable them to stay in the game as much as possible and offset mobility and fatigue-based breaks. You will be given options on camping locations based on your individual requirements.

We are currently investigating options for electricity for medical needs; there is no mains power in the IC camp.

Game provided tents will always be wheelchair accessible.

IC Suitable Tents

Since this is a sci-fi game, both modern and historical tents are permitted for IC camping. The more sci-fi looking tent you can bring the better!

  • We are encouraging players to set dress their tents, adding banners or scifi props wherever possible.
  • Communal areas are highly encouraged in addition to camping tents.
  • Pop-up gazebos are encouraged as easily constructed communal tents; “party” gazebos are discouraged and less likely to withstand bad weather.
  • Some tents are more suitable for specific Planet Origins:
    • Canvas bell tents are very suitable for Sultonia, and somewhat for Earth. They are less suitable elsewhere.
    • Military tents are more suitable for Geostation Kessler.

We do not regulate whether attendees tents are fully accessible: modern tents and some bell tents may not be accessible to wheelchair users. We ask that attendees make efforts to provide accessible spaces in any larger group tents they intend to invite other players to.

OC Camping

Our OC camping area will be on a field next to the toilet block, for all crew, and players who do not wish to camp IC.

Site Facilities

  • Main toilet block just outside the woodland, with a washing up space.
  • Drinking water tap outside the toilet block.
  • Very limited 5G internet access.
  • Radios on standard channels may face interference from local planes, police force, and taxis.

Catering

We are happy to have the Ratt Shakk back to cater for us! Meal tickets must be bought in advance.

Self-Catering

You are welcome to self cater.

  • There is an outside sink for general use. Please do not use the toilet sinks to wash cooking equipment.

Firepits

Fires are permitted in the camp, but follow a few restrictions.

  • Strictly no ground fires. All fires must be raised and contained.
  • Please bring your own fire wood, do not remove wood from the ground or any structures.
  • You must have a fire extinguisher or water bucket nearby.
  • Never leave a fire unattended: you must quench the fire before leaving it.
