Camp Planning Process

A form will go out after ticket sales to plan the IC camp. Please fill this out if you wish to camp IC so we can get a better idea of how to structure the IC space. Those with communal spaces will get priority for the main circle of the camp. Booking is not needed for the OC camp. There will be plenty of room for everyone.

Our events plan the in-character campsite layouts with the assistance of camp planners. You must follow the camp planner’s instructions on where to set up your in-character tents. You must make the camp planner aware of any requirements you have for your setup, including size and number of tents, location preferences, accessibility needs, electricity needs, and attendee avoidances.

Camp Layout

The IC camp will be on the main field. An illustrated map will come closer to the event.

  • In the centre of the camp will be the Command Hub, a large IC admin tent and central gathering area.
  • Divisions will be arranged around this hub, with combat focussed divisions camped closest to the mission area. Player Division Groups will be able to camp together here.
  • An Off Duty camping area will be on the other end of the IC camp, either in a semi-circle away from the mission area or a secondary ring behind Division camps, depending on tent numbers.

Our Priorities

Camp planners will prioritise requests in this order:

  • Physical and mental wellbeing (including accessibility requirements and avoidances)
  • Game and plot mandated requirements
  • Every group having 1 communal in-character tent
  • All tents being in-character
  • Groups being together in their preferred setup structure
  • Neighbour requests.

We hope to be able to fill all attendee’s camping preferences, especially at the first few events, and will contact individuals when we aren’t able to fill their requests.

Setup Requirements

All tents must be set up so their main door is accessible:

  • Do not block someone else’s door when setting up your tent nearby.
  • Leave at least 2m between guy ropes for any paths.
  • Aim to cross your guy ropes with your neighbours if there isn’t meant to be a path between tents.
  • Leave at least a 3m road between the main camp area and the car park for vehicle (and ambulance) access.

Accessibility

Individuals with accessibility needs will have priority with camp plans, to enable them to stay in the game as much as possible and offset mobility and fatigue-based breaks. You will be given options on camping locations based on your individual requirements.

Game provided tents will always be wheelchair accessible.

IC Suitable Tents

Since this is a sci-fi game, both modern and historical tents are permitted for IC camping. The more sci-fi looking tent you can bring the better!

  • We are encouraging players to set dress their tents, adding banners or scifi props wherever possible.
  • Communal areas are highly encouraged in addition to camping tents.
  • Pop-up gazebos are encouraged as easily constructed communal tents; “party” gazebos are discouraged.
  • Some tents are more suitable for specific Planet Origins:
    • Canvas bell tents are very suitable for Sultonia, and somewhat for Earth. They are less suitable elsewhere.
    • Military tents are more suitable for Geostation Kessler.

We do not regulate whether attendees tents are fully accessible: modern tents and some bell tents may not be accessible to wheelchair users. We ask that attendees make efforts to provide accessible spaces in any larger group tents they intend to invite other players to.

Dormitory Block

There is extremely limited bunk availability in shared rooms for accessibility needs. This will be in the crew area only. Please email in to inquire.

Site Facilities

  • Multiple water taps along the edge of the IC camp.
  • Main toilet block at the edge of the field, 23/7 hot water, and washing up space.
  • Fridge in the woods nearby and in the Crew Hut.
  • Electricity with extension cable available to hire from the venue (£10 per event). This fee is covered by the event for medical equipment.

Catering

There will be a caterer set up in the main camp, details are currently being confirmed. Meal tickets must be bought in advance.

Self-Catering

You are welcome to self cater.

  • There will be limited fridge space, either in the fridge near to the main camp, or in the crew hut (dependant on fridge sizes, tbc).
  • Mains power with an extension cable is rentable from the venue.
  • There is washing up space in the main toilet block.
  • Campfires must be raised; camping stoves must be above the ground or on a heat-proof matt on the field.
  • We have a microwave and a kettle in the Crew Hut available to players to use.

Firepits

Fires are permitted in the camp, but follow a few restrictions.

  • They must be raised from the ground to protect the grass from being scorched.
  • You must have a fire extinguisher or water bucket nearby.
  • Never leave a fire unattended: you must quench the fire before leaving it.
